Two AI assistants for three general practice clinics
The diagnostic assistant prepares draft assessments and diagnostic groundwork that the doctor always reviews and approves. The personal assistant handles administration, meeting notes and reminders.

Three general practice clinics and the workload around patient care
CETVIN s.r.o. runs three general practice clinics for adults, among them a clinic in Golianovo near Nitra. Alongside patient care, the team deals every day with medical assessments, records, administration and communication.
This workload grows with every clinic. Across three clinics it means assessments, meeting notes, reminders, emails and coordinating tasks between the sites. The aim of the project was to hand the routine part of this work to AI assistants so the doctor has more time for patients.
Requirements for AI in a clinic the doctor's responsibility, data, sites and deadlines
Bringing AI into a medical practice means dealing with things that ordinary business automation does not account for.
The doctor decides
AI must not decide for the doctor. The diagnostic assistant therefore prepares groundwork and drafts that the doctor always reviews and approves.
Protecting health data
Medical records are among the most sensitive data there is. The documents and material the assistants work with are stored in our private cloud.
Three sites at once
The assistants serve three clinics at the same time. They have to work the same way in each and keep each site's tasks separate.
Tasks with fixed deadlines
Much of the workload has to be done at a set time. The assistants work asynchronously: a task only needs to be set, and they carry it out at the scheduled time.
The diagnostic assistant prepares drafts and groundwork that the doctor always reviews and approves; administration is handled by a separate personal assistant.
Two separate roles
The diagnostic assistant works on assessments and diagnostics, the personal assistant on administration, meeting notes and reminders.
Approval by the doctor
Every draft assessment and every piece of diagnostic groundwork is reviewed, edited where needed and approved by the doctor.
Data in a private cloud
The documents and material the assistants work with are stored in the INTERFASE private cloud.
Draft assessments from dictation for the doctor to review and approve
The doctor dictates the details by voice. From the transcript, the diagnostic assistant prepares a draft assessment and passes it to the doctor.
The doctor reviews, edits and approves the draft. The assistant neither issues the assessment nor decides on it.

Diagnostic groundwork for the doctor's decision
The doctor can send documents to the assistant by email or set the task by voice. The assistant turns them into a clear summary and stores it in the private cloud.
Interpreting results, the diagnosis and the next steps are decided by the doctor.
Workflow for assessments and diagnostic groundwork always approved by the doctor
The assistant prepares a draft from the doctor's instructions and the documents in the private cloud. The doctor reviews the draft, edits it where needed and approves it.

Personal assistant meeting notes, emails, reminders and notices
The personal assistant takes over administration for the three clinics. A task can be set by voice or by email.
It prepares meeting notes and sends them out, schedules a reminder or produces graphic content, such as a notice for the waiting room.

Asynchronous tasks set in advance, carried out on time
Much of the workload has a fixed deadline. A task can be set in advance and the assistant carries it out at the scheduled time – a reminder, an email or an overview of the next day's tasks.

Tasks for three clinics kept separate by site
The assistants serve all three clinics at once. They keep each site's tasks separate, so they work the same way in every clinic.

Project stages from mapping the workload to rollout
- 01
Mapping the workload
With the clinic team we went through which tasks take up most of their time and where AI can genuinely help.
- 02
Designing two roles
We split the work between the diagnostic and the personal assistant and set what an assistant prepares and what the doctor approves.
- 03
Connections
We connected the assistants to voice control, email and our private cloud.
- 04
Rollout in the clinics
We deployed the assistants in all three clinics and fine-tuned them to the team's day-to-day work.
Two AI assistants in three general practice clinics
The CETVIN clinics have two assistants that take over routine work – from draft assessments and diagnostic groundwork to meeting notes, emails and reminders. Decisions about patients stay entirely in the doctor's hands.
